Program Coordinator, Family/Domestic Violence Project

The Legal Aid Society is seeking a Program Coordinator for their Family/Domestic Violence Project, which provides legal assistance to survivors of domestic violence. The Program Coordinator will manage client intakes, support data collection and grant reporting, and facilitate communication between internal teams and community partners.

Responsibilities

Coordinate client intake and referral processes, ensuring timely and accurate communication across staff and partners
Assist existing Legal Aid clients in obtaining assistance from other providers when appropriate
Organize and manage the case management system and maintain accurate electronic case files
Assist with program development, implementation, and reporting to meet grant requirements
Support the creation and updating of shared practice resources for case handlers
Conduct intake with clients and determine next steps
Foster and encourage teamwork and effective communication within the Family/DV Project
Represent the Civil Practice and Legal Aid Society in community outreach and engagement activities
Work with the Family/DV Unit, Borough Administrators, case handlers, and the Civil Grants & Contracts Team to ensure case matters are timely updated with data required for grants management
Oversee and ensure collection of data for grants/contracts, including accurate service levels, completed forms, and other information needed to establish eligibility and outcomes
Ensure all required documents for programmatic audits are uploaded into the case management system before case closing
Maintain overall quality assurance in the case management system by identifying duplicate cases or clients, ensuring proper case assignment, and confirming timely case closure
Create standards of operation for data entry
Follow up with and/or interview clients to obtain information needed to properly enter and update cases, as needed
Implement best practices for data collection and reporting in coordination with the Civil Grants & Contracts Team
Monitor compliance with grant requirements and assist in preparing reports for funders
Support outreach activities and engagement with community-based organizations to strengthen collaboration and service delivery for survivors of domestic violence
Assist in development and maintenance of community education materials and training for clients and partner advocates
Participate in continuous professional development

Required

Bachelor's degree or an equivalent combination of 4+ years of post-secondary education and/or work experience
Excellent computer skills including Office 365 and all Microsoft Office programs, especially Microsoft Excel (pivot tables, etc.), and demonstrated ability to work with databases
Proficiency in fundamental arithmetic operations and numerical accuracy
Previous administrative experience
