Responsibilities

Complete processes and related forms for approval of the supervisor as needed to ensure smooth operation of the division
Organize divisional events that include Manufacturing Day, STEM Exploration Day (Fall and Spring), STEM Open House, and smaller events as needed. This includes working with the Assistant Dean and Marketing and Admissions to manage registration, create and distribute promotional materials, develop event agendas, and coordinate presenters and guides
Establish and use systems for the management of faculty, staff and student records within the division as requested by the supervisor
Create and maintain minutes of department division leadership team meetings and ensure availability of those to the meeting participants
Support the communication of activities, policy and process revisions, and general needs within the division between the faculty and staff of the division and its leadership team
Support the STEM Leadership Team in creation of and maintenance of various reports
Assist in training and professional development of other members of the division as requested by the supervisor
Serve as an effective team member within the division, sub-groups, or any collaborative teams as assigned
Demonstrate performance that is innovative, well-organized, and supportive of institutional goals and that fosters individual excellence and morale required
Provide coverage of the division office phone line, providing direct service to students according to established divisional practices

Required

Minimum of an associate's degree required; bachelor's degree preferred. Related work experience may be substituted for the associate's degree at the discretion of the STEM Division Dean
Minimum of 3 years of administrative experience required
Demonstrated confidentiality and discretion regarding student, faculty, and staff records and any information related to the operation of the division deemed to be confidential required
Excellent working knowledge of Microsoft Word, Excel, and Outlook required
Ability to learn and quickly become proficient in other technology-based resources used by the division required
Candidate must possess strong interpersonal and professional communications skills and demonstrate outstanding customer service and telephone etiquette skills required
Ability to demonstrate strong organizational skills, the ability to effectively manage multiple priorities and demonstrate good judgment required

Preferred

bachelor's degree preferred
Experience in higher education preferred
