Responsibilities

Responsible for processing all hardware, software, maintenance, subscription and service orders through procurement system, ensuring proper and accurate GL or fixed assets coding of all purchase requests and invoices
Maintain and facilitate the timely and accurate tracking of Information Technology operational and capital budgets in order to assist IT Management in operating in an effective and efficient manner
Track existing maintenance and subscription expiration dates and facilitate renewal processing as applicable
Participate in budget forecasting and planning
Liaise between IT and Legal and facilitate vendor agreement and contract review for approval and execution
Maintain GEI Information Technology departments’ vendor agreements and contracts
Compose and type correspondence, memorandums, e-mails, reports and miscellaneous documents; reviews incoming mail and prepares outgoing mail; files correspondence and other departmental records and reports using the various administrative support software programs of Microsoft Office
Maintain the highest level of confidentiality and professionalism; answers non-routine correspondence and assembles confidential and sensitive information
Interact with all operational and support departmental staff as well as outside agencies and vendors, in a courteous, appropriate manner
Perform administrative and support duties as assigned
Ensure compliance with all applicable gaming laws and company internal controls, policies and procedures, Title 31, and federal regulations, as they apply to the position
Provide outstanding guest service in a timely manner to both guests and fellow team members that meets the company’s guest service culture standards
Perform other duties as assigned

Required

Minimum 3 years office administration experience
Previous experience in processing purchase requests via electronic procurement system
Previous experience in processing invoices for approvals
Previous experience in tracking Payables and Ledgers (P&L's) and maintaining capital and operational expenses and budgets
Previous experience managing vendors, including new vendor on-boarding and contract administration, preferably within a casino environment
Experience with effective organization and time management involving multiple priorities
Must be able to prioritize and work with little direction or supervision
Strong computer proficiency in MS Word, Excel, Outlook and Teams
Excellent verbal and written communication skills
Present a professional appearance
Ability to effectively communicate in small and large group situations, as well as one-on-one
Ability to communicate effectively in English
At least 21 years of age
