Administrative Assistant -Outpatient Clinic
Craig Hospital is seeking an Administrative Assistant for their Outpatient Clinic to provide essential administrative and clerical support. The role involves managing clinic correspondence, processing documentation requests, and assisting with general office management to ensure efficient operations in the outpatient environment.

Responsibilities
Provide administrative support for the outpatient NP team, outpatient nursing staff, and outpatient clinic operations
Manage incoming and outgoing faxes, correspondence, and documentation for the clinic
Support completion and routing of required forms, authorizations, and record requests with accuracy and timeliness
Assist with gathering and submitting information required for prior authorizations or other payor documentation processes
Interact daily with staff, patients, families, providers and others, and serve as a resource and referral source
Manage and track office and clinical supply inventory, ensuring timely ordering and organization
Prepare and format documents, correspondence, and reports for internal and external stakeholders
Coordinate and schedule clinic-related meetings, vendor meetings, and other departmental events, including preparation of agendas, meeting materials, and minutes as needed
Assist with departmental projects, data entry, and tracking logs as assigned
Manage general office functions, including mail, scanning, and record maintenance
Serve as a professional and courteous point of contact for patients, families, staff, and external partners
Uphold confidentiality and compliance with HIPAA and hospital standards
Qualification
Required
High School diploma or equivalent required
1–3 years of administrative or clerical experience in a healthcare, outpatient, or rehabilitation setting required
Experience using an electronic health record (EPIC preferred) and managing confidential health information is required
Strong organizational skills and attention to detail
Outstanding written and oral communication skills
The ability to work independently but also collaboratively as a member of a team
Ability to organize, prioritize and meet deadlines, while effectively managing multiple projects simultaneously
Ability to manage multiple priorities while maintaining accuracy and composure
Good problem-solving skills, detail-oriented and excellent follow-through
Ability to relate to people of all ages and diverse backgrounds, skills and abilities
Ability to present self in a personable and professional manner
Strong critical thinking, discretion, and problem-solving skills
Must be able to successfully and effectively communicate with a variety of personnel
Ability to deal with diverse and confidential information with discretion and good judgment
Proficiency with Microsoft Office applications and electronic record systems
Knowledge of EPIC electronic health record, including OP work queues
