Administrative & Operations Coordinator (Part-Time)
Minnesota Retailers is seeking a reliable, organized, and professional part-time Administrative & Operations Coordinator to support the daily operations of the organization and its partnering organizations. The role involves providing administrative support, managing member records, handling finance tasks, and assisting with communications and issues tracking.

Responsibilities
Provide administrative and operational support across Minnesota Retailers and affiliated organizations
Manage calendars, schedule meetings, prepare agendas, and take clear, accurate meeting minutes
Coordinate logistics for board, committee, and partner meetings (virtual and in-person)
Maintain organized digital files and internal records
Maintain and update member records and contact databases
Track membership information, renewals, and engagement activity
Support member communications and data integrity
Manage invoicing, accounts receivable, and accounts payable
Track payments, follow up on outstanding invoices, and maintain records in QuickBooks
Coordinate with leadership and external bookkeeping support as needed
Assist with member communications, brief articles, and internal updates
Support website content updates and basic website management
Assist with social media coordination and posting
Help ensure communications are accurate, timely, and consistent across organizations
Track retail-related issues, policy updates, and legislative activity as directed
Assist with internal tracking documents, summaries, and reports
Provide general research and documentation support
Qualification
Required
Reliable, organized, and professional
Comfort juggling administrative tasks, communications, basic finance support, and issue tracking
Demonstrated professionalism, attention to detail, and follow-through
Strong organizational skills and ability to manage multiple priorities
Clear, professional written communication skills
Comfort working independently while coordinating closely with leadership
Experience with Microsoft Office products required
Preferred
Experience with Zoho CRM is a plus
QuickBooks experience preferred
Customer service experience strongly valued
Experience with a membership organization, association, or nonprofit is helpful but not required
