Facilities Administrative Assistant
HCA Florida Orange Park Hospital is a prominent acute care facility delivering exceptional healthcare services since 1974. They are seeking a Facilities Administrative Assistant to manage day-to-day operations of the Maintenance Engineering Offices and provide administrative support to the Facilities Director and the Engineering department.

Responsibilities
Provide pleasant and professional customer service to vendors and hospital staff when interacting in person or over the phone
Oversee office operations -- including but not limited to ensuring adequate coverage at all times, reviewing/approving requests for time off
Maintains, tracks, and updates all facility licensure per regulatory requirements
Assists Facilities Manager with record keeping for TJC/AHCA requirements
Manage and maintain Facilities Director and Facilities Manager schedules
Prepare invoices, reports, memos, letters, financial statements and other documents, using word processing, spreadsheet, database, or presentation software
Read and analyze incoming memos, submissions, and reports to determine their significance and plan their distribution
Open, sort, and distribute incoming correspondence, including faxes and email
File and retrieve documents, records, and reports
Greet visitors and determine whether they should be given access to specific individuals
Prepare responses to correspondence containing routine and specific inquiries
Qualification
Required
3 to 5 years administrative office, executive support, or secretarial experience required
5 plus years experience as a Senior Executive Assistant and/or overseeing office operations
Preferred
Bachelors degree preferred
Healthcare administrative experience highly preferred
