Responsibilities
Greet and check in clients with warmth and professionalism, ensuring a positive first impression
Manage a high volume of incoming phone calls and emails, addressing client questions, concerns, and appointment requests efficiently
Schedule and confirm appointments, including emergency and specialty visits, and handle patient records with accuracy and confidentiality
Process payments, including insurance claims and financial transactions, and provide clients with clear explanations of costs and billing procedures
Coordinate with veterinary staff to ensure smooth communication between clients and medical teams
Handle and resolve client concerns or complaints with tact and empathy, maintaining a high level of service
Maintain a clean and organized reception area, ensuring a welcoming environment for clients and their pets
Assist with administrative tasks such as data entry, filing, and inventory management as needed
Qualification
Required
Exceptional communication and interpersonal skills, with the ability to interact effectively with clients, staff, and patients
Strong organizational and multitasking abilities, with a keen attention to detail
Ability to remain calm and composed in a fast-paced, high-pressure environment
Proficiency with office software and electronic medical records systems
A compassionate attitude towards animals and their owners
Flexibility to work various shifts, potentially including evenings, weekends, and holidays as required
Preferred
Previous experience in a client service role, preferably in a veterinary or medical setting, is highly desirable
