Responsibilities

Serve as the primary liaison with building management, ensuring smooth day-to-day office operations, safety compliance, and facility upkeep
Act as the main point of contact for all office and facilities-related needs
Maintain a well-organized, fully equipped office environment that supports productivity and reflects organizational standards
Manage vendor and service provider relationships, including facilities, office supplies, décor, office moves, catering, and workplace services
Assist with planning and executing office moves, updates, expansions, or remodeling projects
Coordinate office logistics such as lunches, events, and workspace readiness
Provide direct and dotted-line supervision for clerical, reception, litigation support, and file room staff, as applicable
Maintain a hands-on, visible presence throughout the office to ensure staff productivity, adherence to procedures, and service standards
Offer guidance, coaching, and support to staff to promote accountability and continuous improvement
Foster a collaborative, team-oriented culture focused on professionalism and internal service excellence
Support senior leadership with calendar coordination and administrative tasks as needed
Handle sensitive matters, including client concerns or complaints, with discretion, professionalism, and sound judgment
Identify opportunities to improve office processes, workflows, and operational efficiency

Required

Minimum of five years of office administration experience; prior experience supervising clerical or administrative staff strongly preferred
Demonstrated ability to motivate, manage, and positively influence staff
Strong organizational, communication, and multitasking skills
Excellent problem-solving and analytical abilities
Proficient with office technology and administrative systems
Proven reliability, professionalism, maturity, and strong work ethic
Comfortable working fully on-site in a hands-on, people-facing role

Preferred

Bachelor's degree in Business Administration or a related field preferred
Experience in a legal or professional services environment is a plus
Experience supporting office moves or remodels highly preferred
Personable, confident, resourceful, and committed to process improvement
