They are seeking a Vendor Onboarding Coordinator who will manage vendor onboarding workflows, ensure compliance with insurance requirements, and collaborate with Facility Managers to mitigate operational risks.

Responsibilities
Managing vendor onboarding workflows in the CMMS system (ServiceChannel)
Monitoring ongoing compliance (policy renewals, coverage changes, and expiration tracking)
Verifying vendor trade and business licenses across multiple states
Collaborating closely with Facility Managers to identify gaps in vendor coverage
Sourcing compliant service providers
Reducing operational risk across branch locations
Supporting branch facility claims and insurance recovery efforts
Acting as a liaison between Facility Management, claims adjusters, and the bank’s internal insurance contacts
Producing regular reporting for management on vendor compliance status, operational risks, and claims trends
Leveraging Excel and system reporting tools to deliver actionable insights
Training new team members on COI standards, special-category vendor requirements, and onboarding procedures

Commercial P&C Insurance experience - Knowledge of general liability, workers' compensation, auto liability, umbrella/excess, and common endorsements (additional insured, waiver of subrogation, primary & non-contributory)
COI Standards & Process Improvement - Experience creating/updating COI requirements, SOPs, templates, and “sample COIs” to standardize vendor submissions and internal reviews
License Verification & Regulatory Awareness - Familiarity with multi-state trade license validation and maintaining compliance documentation for regulated environments
Systems & Stakeholder Management - Comfort working cross-functionally with Facilities, Accounts Payable, Risk/Insurance, and vendors/agents; experience in ServiceChannel or similar CMMS strongly preferred
Strong Organization & Communication - Ability to manage high volumes of renewals, resolve compliance exceptions, and clearly explain requirements to non-insurance stakeholders
Preferred
Advanced Excel Preferred - Pivot tables, XLOOKUP/VLOOKUP, conditional formatting, data validation, and basic dashboarding; Power BI a plus
