Administrative Specialist II (TLT/SDA)
King County Sheriff's Office has an opportunity for the position of Term-Limited Temporary/Special Duty Administrative Specialist II assignment, supporting the Property Management Unit (PMU). This position serves as the primary point of contact for customers, providing professional and responsive customer service while performing a broad range of administrative and clerical duties.

Responsibilities
Serve as the front office representative at PMU, acting as the primary greeting point for the public access window
Provide customer service to both internal and external customers over the telephone, in writing and/or in person on matters that may be technical, complex or sensitive in nature, to include assisting customers with property releases and returns, facilitating communication between KCSO personnel and PMU customers, and following up on various processes
Maintain professionalism and effective communication when assisting individuals with varying emotional states or needs
Support PMU staff by serving as the primary contact for Patrol and Detective inquiries and assisting with day-to-day operational needs
Assist with Quartermaster operations, Inventory Management Unit functions, and efforts to ensure the gun compliance unit meets federal regulatory requirements
Must be willing to work around potential allergens, narcotics, firearms, bodily fluids, and bio-hazardous and hazardous materials with proper training and personal protective equipment
Compose and draft documents, and/or correspondence; prepare paperwork and files, and organizing and filing documentation for various office processes
Scanning and uploading case files, and other documents as needed, working in collaboration with the Records Unit for public disclosure requests
Verifying documentation and updating various electronic databases to include data entry
Manage and track data related to PMU projects, work orders and repairs
Organizing and filing training-related documentation and paperwork, scanning and uploading documents to an electronic system
Facilitate supply and product orders
Other duties as assigned
Qualification
Required
Strong communication and interpersonal skills with the ability to provide program-specific information such as rules, regulations and policies; to customers via in-person, telephone, or written communications, including greeting visitors, screening calls, scheduling meetings, directing and responding to public and internal requests
Demonstrated experience in conflict resolution and problem-solving techniques to resolve complaints and interpretation of procedures and policies
Writing skills sufficient to compose, edit and maintain a variety of documents, reports and correspondences using correct spelling, grammar, and punctuation, with the ability to pay close attention to detail and proofread work carefully
Strong initiative and accountability in tracking work assignments, prioritizing workload, adapting to changes and following through on assignments
Maintaining records, tracking evidence for release
Ability to carry out assignments using standard office equipment such as personal computer, copier, fax, and multi-line telephone
Experience with or knowledge of inventory procedures to order and distribute supplies/equipment, knowledge of basic accounting skills
Good keyboarding skills with experience using Word, Excel, Outlook and database applications or other relevant software (minimum of 35 WPM)
Skilled in working independently with minimal guidance
Strong organizational and multi-tasking skills
Confidentiality; skill in working with information that is highly sensitive in nature
Physical requirements: bending, standing and lifting for potential training-related processes
Must pass thorough background investigation, including a polygraph
You may need to have a vehicle to be able to drive between work locations
For KCSO employees: if applying as a special duty assignment, KCSO employees must have approval from their chain of command
Preferred
Two (2) years previous front facing customer service experience
Two (2) years of experience answering telephone lines promptly while effectively directing conversations to ensure efficient call resolution
Previous experience with public sector, law enforcement, court, or legal experience
Previous experience with public disclosure / providing records through GovQA
Possess a working knowledge of Mark43, ATLAS, Mobile CAD, and Microsoft Office Suite products
Ability and willingness to assist with scheduling and processing court ordered gun surrenders and releases as well as SKO and property releases
Knowledge of Sheriff's Office structure, policies, and procedures
