Program Coordinator

Responsibilities
Interprets University, SUS, and departmental policies and procedures to faculty and staff. Recommends policies and procedures to the Department Chair
Works alongside the department chair on all matters related to the departments operating budget and expenditures. Alongside the department chair, oversees all account reconciliations, Foundation reimbursements, and deposits. Advises department leadership on budgetary needs or discrepancies. Prepares periodic expense and activity reports on the Department's progress. Serves as the Fiscal Liaison for the School
Prepares requisitions, TARs, travel reimbursement and expense reports
Serves as the University credit card user for departmental transactions. Adheres to university credit card policies and procedures. Maintains record of requisitions and credit card transactions. Provides details on transactions as needed for account reconciliation and reporting purposes. Compiles, submits and follow-up expense reports for faculty and students
Assigns, monitors, supervises, and evaluates duties and responsibilities of supporting staff and temporary personnel
Assists the Chair in recruiting the Adjuncts and submits credentialing requests for teaching faculty before assigning courses. Verifies the feasibility of the class schedules and enters the schedules in the system
Provides academic-related data and departmental metrics to generate reports as needed
Acts as a liaison between the Department and the Dean's office to support the execution of the construction and/or maintenance projects. Prepares minor project requests, work orders and requisitions as needed to complete the projects. Follows up on expected deliverables through the process until the project is completed
Assists with the development, coordination, and implementation of undergraduate and graduate programs. Responsibilities would include the preparation of class schedules and documentation of faculty and adjunct assignments. Serves as liaison for graduate and undergraduate student affairs for the School
Exercises good judgment in dealing with confidential student and faculty/staff data so as not to violate any state or federal law or policy
Coordinates all recurring events in the department including graduations, lecture series, career expo, etc. as well as other non-recurring events such as conferences and seminars
Coordinates enrollment activities, and ensures accurate placement of students in the course sections. Assists with the coordinator and implementation of graduate program activities such as orientation, student forums and meetings
Provide assistance to faculty members and students in the department and interacts with the public, students, faculty from FIU, other universities, industry, and community
Works closely with the Department Chairs in preparing and submitting contracts. Provides information to the Dean's Office Human Resources team for the preparation of adjuncts, overloads, student, RA, and TA contracts
Performs other related duties as assigned or as directed. The omission of specific duties does not preclude the supervisor from assigning duties that are logically related to the position
Serves as Public Notary for the School. Assist Faculty, Staff and Students with notary needs, as needed
Serves as the first point of contact for the Biomedical Engineering Graduate program; answers and responds to phone, email, and in-person inquiries politely and professionally; assists graduate students, postdoctoral fellows, summer interns, faculty, colleagues, and visitors who contact or visit the office; communicates program and/or institute policies
Assists with the development of annual strategic plan for the program. Provides administrative support to the Graduate Program Director (GPD) for the Graduate programs. Assists the GPD in gathering and preparing information as needed
Tracks student progress (Performance Matrix) throughout the graduate program. Assist with the query process for the student's annual evaluation and provides regular updates to Graduate Program Director. Assists in the development of policies and procedures for graduate programs
Qualification
Required
Bachelor's degree and two (2) years of office or related experience
Preferred
Experience working in Higher Education
Knowledge of Microsoft Office Suite (e.g. Word, Excel, PowerPoint)
Experience with Event Management
Ability to coordinate multiple activities using scheduling software, video recording systems, and learning management systems such as EMS (Education Management Solutions)
