Responsibilities

Act independently to support the section of Speech Pathology & Audiology in the coordination of projects and related functions of the section. Perform independently to gather facts and identify appropriate solutions to meet the administrative needs of the section
Coordinates and manages the professional and administrative needs of all staff members in the Sections of Speech Pathology and Audiology
Coordinates and maintains the Section's trainee, fellowship, observer and/or visitor program
Manages, updates, and facilitates all the legal agreements between the outside universities/institutions and MDACC, and completes and submits the required paperwork
Credentialing coordinator for speech language pathologists in the Center and Department
Maintains monthly and annual record of patient billable hours per individual pathologist within the Section
Creates documents/forms/databases utilizing available computer software
Assists with the Speech sections' SharePoint page
Coordinates and manages special projects of the Section including numerous international continuing education offerings (including but not limited to bi-annual international Oncologic Speech Pathology training courses, international webinar series with online enduring material, DIGEST training program)
Serves as primary liaison with contracts, legal, industry sponsors, and institutional offices (e.g., Continuing Professional Education and Trainee and Alumni Affairs, etc) for educational and academic programs
Assists with the Speech sections' SharePoint page
Official CE Administrative Support designee for American Speech Hearing Association (ASHA) including monthly filing for all ASHA registered continuing education events in the Section in accordance with American Speech Language Hearing Association contractual standards
Designee of Educational Program Director for academic educational trainees in Section. Manages forms related to application, selection, appointment, etc. of Speech and Audiology trainees, observers, and visitors
Coordinate interviews, time keeping, and liaises with educational team for Clinical Health Education Program Fellowships (a new SLP fellowship approved for FY23)
Independently plan and manage work deadlines and schedule. Maintain both the current year and a long-term year calendar for assigned faculty
Arrange all travel preparations, scheduling airline reservations and hotel accommodations as necessary. Ensure all travel expenditures are processed according to institutional policies and guidelines and that the respective faculty and/or staff are reimbursed accordingly
Maintain faculty extramural development leave and staff development funds (PRS)
Maintain the most current information pertaining to faculty CV and biosketch, periodical publications and biographical sketch
Gathers materials on assigned subjects for use in preparation of scientific reports, speeches, or articles
Formats letters, reports, articles, memorandums, and speeches - usually of medical or related scientific nature. Able to compose routine correspondence
Prepare, along with the assigned faculty, submission of publications, abstracts, manuscripts, scientific posters, research studies, protocols, and other publications using EndNotes, PowerPoint, and other software

Required

Bachelor's Degree Business Administration or related field
3 years Project/program coordination experience or 1 year Required experience with Master's degree. May substitute required education degree with additional years of equivalent experience on a one to one basis
Faculty support and Concur experience
Ability to handle a busy section Chief's calendar and section of 20 plus staff members

Preferred

Master's Degree
5 years Administrative experience to include Faculty support in a patient care environment
Manuscript submission experience
