Responsibilities

Quick Books, bookkeeping for a small psychotherapy practice
Create and maintain client files and lists (Excel proficiency required)
Monthly client billing and payment processing (mostly direct pay and credit cards; very few insurance cases)
Maintain strict confidentiality with sensitive psychotherapy client data
Light accounts payable and bank deposits (checks)
Reconcile 4–5 bank/PayPal accounts
Track investment accounts (3–4 qualified and non-qualified)
Prepare materials for tax returns and coordinate with CPA
Renew subscriptions and insurance policies
Track payments for Israel-based trainings
Handle bank transactions between U.S. and Israel entities
Book overseas travel (airfare)
Occasional post office trips (e.g., mailing books, a few times per year)
Weekly grocery shopping (kosher knowledge helpful but can be learned)
Minimal errands (dry cleaning, car wash)
Online orders (vitamins, medications, clothing; rare returns)
Track timeshare (RCI)
Update handicap parking documentation
Handle occasional paperwork and signatures for students
Communicate with SEI (Somatic Experiencing International) regarding U.S. training billing (approx. 3 trainings/year)
Download, organize, and prepare training videos
Set up training tables (approx. 3 times/year; 20 minutes each)
Process donations and send donor acknowledgment letters
QuickBooks bookkeeping for the non-profit
Communicate with CPA as needed

Required

1+ year experience in bookkeeping and/or administrative roles
Strong Quick Books proficiency
Excel skills and experience with reconciliations and tax prep support
Highly organized, reliable, and trustworthy
Comfortable working independently in a home-office environment
Clear and professional communicator
Reliable transportation for occasional errands
Interest in mental health, trauma healing, or non-profit work strongly valued

Preferred

Social media knowledge (occasional support)
General tech comfort (computer, iPhone, iPad)
Interest in Israel, Jewish contexts, and organizations is a plus
Hebrew and/or French helpful but not required
