Real Estate Operations Coordinator

Lands End Capital is seeking a highly organized and proactive Part-Time Real Estate Operations Coordinator to support the oversight of their existing property portfolio and assist with the execution of new acquisitions and transactions. This role is central to ensuring operational excellence across multifamily, mixed-use, and commercial assets, while also supporting project management for ongoing renovations and capital improvements.

Responsibilities

Oversee day-to-day performance of portfolio properties in coordination with third-party property management teams
Monitor maintenance, repairs, and capital improvement projects to ensure properties are well maintained and operational issues are addressed promptly
Maintain proactive communication regarding vacancies, leasing activity, tenant issues, and operational performance
Regularly follow up with property management teams to ensure accountability and execution
Coordinate and oversee renovation projects for vacant residential and commercial units
Work closely with contractors, property managers, and ownership to track project timelines, scope, and progress
Ensure all renovation and construction expenses are properly documented, categorized, and supported with invoices and receipts
Assist in maintaining budgets for renovation projects and flag cost overruns or discrepancies early
Support the organization of project documentation for lender reporting, refinancing, or sale
Review monthly income and expense statements for accuracy and identify discrepancies
Prepare and assist with reports on property performance, key financial metrics, and market trends
Help ensure clean financial records suitable for lenders, investors, and internal analysis
Assist with lease administration, including renewals, rent escalations, and monitoring lease compliance
Support tenant communications when needed and help track rent collections and delinquencies
Assist in transitioning properties between management companies, including utility billing changes, vendor onboarding, and operational handoff
Act as a central point of coordination for commercial real estate transactions, managing communication, documentation, and timelines between brokers, attorneys, lenders, escrow, and ownership
Organize and manage the due diligence process, ensuring all required documents, reports, and inspections are obtained and tracked
Review contracts and transaction documents, assist with negotiation workflows, and track revisions and amendments
Collaborate with title companies and escrow officers to ensure smooth closings and proper documentation

Required

Strong written and verbal communication skills
Prior experience in real estate, property management, construction, development, or related field

Ability to manage multiple projects and stakeholders simultaneously
Proactive, self-directed, and comfortable following up to ensure accountability
Proficiency with Google Drive, spreadsheets, and document organization (Excel/Sheets experience preferred)
