Responsibilities
Oversee and coordinate administrative operations across the organization
Manage and act as the primary liaison for the IT team, ensuring systems, tools, and support needs are addressed promptly
Supervise and support the administrative and payroll team to ensure accuracy, compliance, and efficiency
Assist the VP of Finance with business-related filings and maintenance, including licenses, renewals, entity management, and related documentation
Coordinate domestic and international team travel, including flights, accommodations, and itineraries
Manage office operations, including inventory, supplies, vendor relationships, and general upkeep
Answer incoming calls and route communications appropriately, maintaining a professional first point of contact for the company
Maintain organized records and documentation across administrative, operational, and compliance functions
Identify process improvements and implement solutions that support a growing organization
Qualification
Required
Ability to work independently while exercising sound judgment and knowing when to loop in leadership
High level of discretion and professionalism when handling confidential information
Proven experience in an office management, operations, or administrative leadership role
Strong organizational skills with the ability to prioritize and shift focus as business needs evolve
Excellent communication skills, both written and verbal
Thrives in a dynamic environment where priorities shift, and resourcefulness is valued
Proficiency with standard office software, collaboration tools, and administrative systems
