Assistant Project Manager
Psychlomere, LLC is a specialized consulting firm focused on helping effective treatments reach patients in need. They are seeking a highly organized and proactive Assistant Project Manager to provide essential administrative, project coordination, and operational support on a part-time contract basis.
Responsibilities
Manage onboarding for new consultants and team members, including granting access to Microsoft 365, project tools, and other software platforms
Assess and recommend/select project management software; create and maintain detailed project plans, assign tasks, track completion, send reminders, and ensure timely progress on projects
Monitor and maintain up-to-date consultant certificates, CVs, and other compliance documentation required, complete quality audit (QA) forms for vendor qualifications, organize and provide standard operating procedure (SOPs) trainings
Arrange travel bookings and support expense report preparation and submission
Handle complex calendar scheduling for executives, including coordinating meetings, resolving conflicts, and prioritizing across time zones, and syncing multiple calendars
Track consultant timesheet submissions, aid executives on timesheets, and ensure accuracy and timely processing
Coordinate scheduling for clinical operations support, client meetings, or study-related activities, ensuring appropriate coverage
Complete and share QA sheets, SOPs, and other documentation with new clients; track contracts, facilitate account setups, and provide initial support to ensure smooth engagement start
Develop and maintain standardized templates for Statements of Work (SOWs), budget tables, proposals, and other client-facing documents
Assist with slide design and presentation materials for client meetings, regulatory submissions, or internal use
Update and manage our LinkedIn company page, website content (psychlomere.com), and relevant posts to reflect our ongoing work in CNS/rare disease clinical trials
Post job openings, assist with candidate screening, and schedule interviews as needed
Monitor industry conferences relevant to clinical endpoints, CNS/rare diseases, and pharma/biotech; track registrations, submissions, travel, and follow-ups
Provide basic troubleshooting and access support for consultants using company tools and platforms
Track, schedule, and support performance review templates and processes for team members
Assist with preparing and ensuring timely filing of state and federal wage reports, taxes, insurance documents, and other required filings, coordinating executive sign-off
Qualification
Required
Proven experience in administrative support, project coordination, or operations roles, preferably in a consulting or pharma/biotech environment
Strong organizational and multitasking skills, with proficiency in Microsoft Office Suite (especially OneDrive, Teams, PowerPoint), calendar tools, and project management platforms (e.g., Planner, Clockify, or similar)
Excellent written and verbal communication, with professional interaction across executives, consultants, and clients
Self-motivated and able to work independently in a remote, small-team setting with evolving priorities
Bachelor's degree or equivalent experience in business administration, project management, life sciences, or related field
Preferred
Direct experience in the pharmaceutical industry, particularly supporting project management, quality and compliance, or executive assistance
Familiarity with pharma compliance processes (e.g., SOPs, QA documentation, regulatory filings, consultant credentials)
Experience managing digital presence (LinkedIn, website updates) and basic presentation/slide design
Enthusiasm for startup dynamics—flexible, hands-on, and eager to contribute across functions in a growing firm
