Responsibilities

Provide high-level executive, administrative, and supervisory support so that leadership priorities, staff performance, and office operations are managed efficiently and effectively
Coordinate special projects and initiatives that involve multiple stakeholders to support executive and organizational goals
Assist in coordinating and scheduling for external relations activities to ensure consistent communication and alignment with organizational positions and access to the appropriate executive lead in a timely manner
Support the effective operation of the executive office by managing workflows, systems, and processes, including direct supervision of administrative staff
Exercise discretion and sound judgment in handling sensitive information and resolving issues

Required

Two (2) years of experience providing high-level executive or administrative support in a complex organization
Supervisory experience over administrative or clerical staff, including work assignment, performance management, coaching, training, and participation in hiring or disciplinary actions
Qualifying experience must also include two (2) or more of the following: Direct support to senior leadership or executive-level staff (e.g., commissioner, assistant commissioner, division director, chief of staff, or equivalent)
Independent management of complex calendars, scheduling, and executive workflows involving competing priorities
Experience drafting, editing, and proofreading professional correspondence, reports, briefing materials, or presentations
Experience coordinating projects or activities involving multiple stakeholders, divisions, or work units
Demonstrated ability to exercise discretion, diplomacy, sound judgment, and confidentiality when handling sensitive or high-risk information
Proficiency using modern office technology and systems, including document management, calendar systems, spreadsheets, and presentation tools
Ability to work independently, prioritize work, and meet deadlines in a fast-paced environment
Demonstrated ability to anticipate executive needs, identify issues, and recommend or implement solutions with minimal direction

Preferred

Experience supporting an executive office within a governmental, public health, or public-sector organization
Experience coordinating cross-divisional or agency-wide initiatives or special projects on behalf of senior leadership
Experience assisting with legislative, intergovernmental, or external relations activities, including tracking legislation, coordinating responses to inquiries, or preparing briefing materials
Experience serving as a liaison between senior leadership and internal staff, other agencies, or external partners
