Staff Accountant with AP Focus

Responsibilities
Owner of all things Accounts Payable – 40%
Reviewing the AP Inbox for invoices, following up on approval from the appropriate parties, and ensuring they are entered into NetSuite
Provide oversight of invoice data entry completed by an international team member, including review for accuracy, adherence to timelines, and ongoing feedback
Prepare and maintain integrity of the Weekly Open AP Report – to drive ownership of accuracy, and review rather than expecting someone else to find the problems
Process approved payment and send remittances
Process bi-weekly 1099 contractor payments
Foster and maintain strong vendor relationships
Foster and maintain a collaborative and customer service focused partnership with the Buying Department
Monthly statement reviews of key vendors to ensure accurate financial statements
New vendor set up in NetSuite
Month End Close: the Staff Accountant is responsible for supporting the Controller in preparing timely, accurate, and thorough account reconciliations, demonstrating adherence to accounting best practices, and monitoring internal controls – 40%

Balance Sheet Reconciliations
Journal entries
Bi-weekly payroll journal entry
Additional Tasks - 10%
Creating and updating process documentation
Annual 1099 filings
Audit and Tax support
Serve as redundancy to critical processes performed by other team members
Additional tasks assigned as needed
Compliance – 10%
Actively manage processes to ensure compliance with state and local filing requirements, including business licenses. Own the relationship with third-party compliance providers and drive timely resolution of open issues and regulatory filings
Qualification
Required
Minimum 3 years of related work experience
Formal accounting education – in progress schooling near graduation, bachelor or associate's degree
Knowledge and understanding of GAAP
Experience supporting Month End Close
Advanced Excel capabilities including Index/Match, SUMIFS, data validation, and pivot charts; basic VBA experience is a plus
NetSuite experience
The ability to work independently with minimal direction
Ownership of your work and a strong accounting background
Ensure adherence to internal controls and accounting policies, and actively participate in process improvement initiatives
Track and report on key accounting metrics
Strong organizational skills and the ability to meet deadlines
Analytical mindset with curiosity and problem-solving skills
Excellent communication skills and professional presence
Adaptability to change
Passion for accounting, and understanding how accounting supports business operations
Preferred
Experience with multi-entity environments and international vendors
Demonstrated ability to lead small-scale projects or mentor team members
