Responsibilities

Perform Accounts Receivable (AR) collections, including follow-up on outstanding balances and customer communications
Process daily cash deposits and accurately record payments
Monitor and manage unbilled jobs, ensuring timely and accurate invoicing
Manage the Accounts Payable (AP) inbox, routing invoices and responding to vendor inquiries
Execute Monthly Recurring Revenue (MRR) billing for LLC entities
Receive and apply customer payments and deposits in Sage and Salesforce, including ACH transactions
Serve as the primary point of contact for the business office phone line, directing inquiries appropriately
Process customer refunds accurately and in accordance with company policies
Support sales order processing in Salesforce and vendor systems, ensuring data accuracy and completeness
Assist with customer onboarding and account setup, including W-9 collection, ACH setup, and e-billing registrations
Conduct Sage pending invoice audits, reviewing items remaining at 85% and escalating discrepancies as needed
Maintain and update the annuity worksheet, including current and future invoice dates
Ensure data integrity across financial systems and supporting documentation
Perform other accounting, billing, and administrative duties as assigned

Required

Prior experience in an accounting clerk, billing clerk, accounts receivable/payable, or finance support role
Basic bookkeeping knowledge, including invoicing, cash application, and reconciliations
Experience working with accounting or ERP systems, and Salesforce or other CRMs
Experience processing customer payments, including ACH, checks, and electronic deposits
Exposure to accounts receivable collections and customer billing inquiries
Comfort handling vendor/customer communications
Strong data entry skills with a high level of accuracy and attention to detail
Ability to manage multiple tasks and deadlines in a fast-paced, transactional environment
Proficiency in Microsoft Excel, including basic formulas and spreadsheets
High level of organization, reliability, and follow-through
Willingness to learn new systems, processes, and financial procedures
