Responsibilities

Responsible for capturing and documenting essential Purchase Order (PO) process steps and standard operating procedures to ensure compliance and efficiency
Collaborate closely with cross-functional teams and stakeholders to gather process requirements, interview team members, and validate procedures
Develop detailed training materials and deliver engaging sessions to ensure process adoption
Recommend appropriate tools/platforms to support continued operational improvement
Support process mapping, continuous improvement, and implementation of approved technologies
Create, update, and maintain comprehensive written process documentation for PO procedures
Conduct stakeholder interviews, research, and requirements gathering to ensure documentation is accurate and actionable
Develop training materials (presentations, guides, reference sheets) tailored to diverse audiences
Facilitate group training sessions and collect feedback for ongoing improvement
Recommend, implement, and optimize use of workflow efficiency tools (e.g., Smartsheet, Excel, Asana)
Communicate status updates, training progress, and improvement recommendations to management
Investigate and propose solutions for process inefficiencies and address documentation discrepancies
Provide guidance and answer technical/non-technical questions about PO process and associated tools
End-to-end documentation and training support for PO process workflow
Liaison between operational teams, executive administrator, and management to drive efficiency and compliance
Leads initiatives for process improvement and supports adoption of new tools/platforms as needed

Required

Bachelor's degree in business, Operations, Communications, or related field (required)
3-5 years relevant experience in process documentation, operations, training, or continuous improvement roles
Demonstrated process mapping and SOP writing ability
Excellent written and verbal communication skills; able to interact effectively across functions
Experience facilitating training sessions and developing instructional materials
Strong stakeholder engagement and interviewing skills
Analytical mindset: able to solve problems, propose, and implement improvement strategies
Detail-oriented and able to operate with minimal supervision
Ability to clearly document and map operational processes and standard operating procedures
Gathering insights by interviewing stakeholders
Skills: Strong process documentation/writing skills; proficiency in workflow/project management tools (Smartsheet, Excel); training facilitation capability; stakeholder interviewing and engagement

Preferred

Experience in project/program management, or team training (a plus)
Preferred hands-on experience with Smartsheet, Asana, or similar workflow tools
Fresh graduate also considered

Technical Certification Bonus: Synectics is pleased to award its employees a bonus of up to $500 for an approved professional certification. In determining the bonus amount, Synectics will consider the cost of the test(s) for any certification relating to your current position, achieved during your employment with us. Only one Certification Bonus per calendar year may be awarded per employee. Only current, active employees will be eligible to receive this bonus. It will be awarded 90 days after the Synectics office has received documentation confirming the successful completion of the certification.
