Project Resources Manager
Flick Mars is seeking a highly organized, emotionally intelligent Project Resources Manager to coordinate people, schedules, and project staffing across multiple hospitality design projects. The role is responsible for ensuring project goals are met while maintaining timelines and project profitability.

Responsibilities
Build, maintain, and update multi-project schedules using Smartsheet software
Develop comprehensive project schedules to be shared internally and with clients
Manage shifting milestones across all design phases
Track drawing and FF&E specifications deliverables, dependencies, critical paths, and key deadlines for multiple projects
Measure project financial performance using appropriate tools and techniques
Proactively identify risks, flag scope or timeline shifts
Ensure project deliverables and construction administration phase activities are delivered on time
Develop and maintain weekly staffing and resource plans across all active projects
Ensure resource availability and appropriate allocation based on project priorities
Balance workloads, forecast future staffing needs, and adjust assignments as necessary
Collaborate with Partners and Directors on utilization, work plans, and scheduling
Oversee accurate team time tracking and coding using Clockify software
Ensure timely submission of timesheet entries using Clockify software for staff and adherence to firm standards
Help create and analyze individual project profitability analytics (burn rate, margin, utilization)
Assist leadership with monthly financial snapshots and profitability reporting
Foster and maintain collaborative, professional working relationships across project teams
Facilitate weekly one-on-one meetings with designers to assist with their time management
Communicate with Partners and Directors regarding factors impacting project timelines
Translate creative direction into clear operational plans
Use and continually develop leadership and communication skills
Participate in professional development reviews and 'Lessons Learned' sessions
Contribute to ongoing improvements in systems, workflows, and project delivery processes
Qualification
Required
3–7 years of professional experience as a Project Manager or Project Administrator within hospitality, design, architecture, commercial interiors, construction, or procurement-heavy environments
Strong knowledge of the hospitality and commercial interior design industry, including design, construction, and procurement workflows
Proven ability to manage multiple concurrent projects, priorities, and deadlines in a fast-paced environment
Advanced organizational, time management, and multitasking skills with strong attention to detail
Demonstrated analytical skills related to project tracking, budgeting, and profitability
Excellent verbal and written communication skills with the ability to collaborate across teams, leadership, clients, and consultants
Proven ability to support and manage creative personalities while maintaining structure and accountability
Strong working knowledge of Microsoft Office and collaboration tools, including Word, Excel, Outlook, and Microsoft Teams
Basic working knowledge of Microsoft PowerPoint
Ability to quickly become proficient in firm-standard project management and time-tracking software, including Smartsheet and Clockify
Ability to work collaboratively in a team environment while independently driving tasks to completion
Must reside in the Dallas–Fort Worth area and be able to work a hybrid schedule
Ability to travel as required
Preferred
Experience working in hospitality design studios or architecture firms
Familiarity with FF&E procurement workflows and vendor coordination
Working knowledge of Revit and/or AutoCAD workflows (not required to produce drawings)
Professional registration, certification, or credentials; PMP certification a plus but not required
