Jr. HR Specialist

Responsibilities
Support recruitment activities, including posting job requisitions, coordinating with internal and external candidates, initiating background screenings, generating offer letters, and assisting hiring managers with applicant tracking system (ATS) processes
Support smooth and compliant onboarding and offboarding processes, including preparation of employment documentation and coordination with cross-functional partners
Partner with Talent Acquisition as needed to ensure a seamless candidate-to-employee transition experience
Collaborate with HR team members to plan and facilitate new hire orientation and onboarding activities; present orientation content related to HR policies and procedures as needed
Respond to routine employee inquiries and provide timely, accurate information related to HR policies, procedures, and processes
Liaise with employees, supervisors, managers, and coworkers to assist with issue resolution and administrative support
Coordinate the annual purge of outdated HR records
Perform administrative and operational support functions, including file maintenance and auditing, scanning files, report generation, invoice reconciliation and payment processing, and preparation of correspondence
Maintain strict confidentiality regarding personnel matters, employee relations issues, legal actions, terminations, and organizational plans
Provide guidance and support to ensure compliance with organizational policies, procedures, federal and state employment laws, and EEOC regulations
Perform other duties as requested, directed, or assigned
Qualification
Required
Bachelor's degree in Business Administration, Human Resources, or a related field and a minimum of one (1) year of HR administrative experience; or, in lieu of a degree, at least three (3) years of full-time Human Resources experience
Working knowledge of general Human Resources practices and employment regulations
Strong organizational skills with the ability to prioritize, plan, and manage multiple administrative tasks
Strong attention to detail and analytical skills; ability to work methodically and accurately in a fast-paced environment
Strong communication and interpersonal skills
Excellent customer service orientation and ability to work effectively as part of a team
Proficiency in Microsoft Word, Excel, and Outlook
Demonstrated understanding of the importance of employee and organizational confidentiality
Preferred
Experience working as an HR Assistant or a similar role
Human Resources experience in a healthcare environment
Experience working in a unionized setting
SHRM and/or PHR certification
Experience with ADP, HRIS platforms, and HealthStream (LMS)
Experience using an applicant tracking system, preferably Taleo
Advanced Excel skills
