Procurement Specialist

The Procurement Specialist is responsible for protecting margin, controlling risk, and ensuring flawless execution across all sourcing, purchasing, logistics, and vendor coordination for luxury interior design projects.
Design
Responsibilities
Source, price, and procure all FF&E, materials, finishes, lighting, and goods per design specs
Create, review, and issue purchase orders with exacting accuracy
Confirm lead times, freight terms, COM requirements, and install readiness
Track all orders from placement through delivery and installation
Maintain and continuously refine an approved vendor and trade database
Negotiate pricing, payment terms, freight, and discounts to protect margin
Enforce vendor compliance with quality, lead times, and communications standards
Manage backorders, substitutions, damages, and claims with firm authority
Validate procurement aligns with approved project budgets
Flag cost overruns, lead time risks, or scope deviations early
Partner with leadership to improve cost forecasting and margin discipline
Support trade program pricing integrity
Coordinate freight, receiving, warehousing, and white glove delivery
Confirm delivery schedules align with install timelines
Resolve delivery issues before they impact the client experience
Maintain accurate status reporting across all active projects
Maintain clean records in procurement software, PM tools, and accounting systems
Manage SOPs for purchasing, vendor onboarding, proposals, and PO workflows
Improve procurement processes as volume and complexity increases
Prepare procurement reporting for leadership - spend, lead times, vendor performance
Qualification
Required
4-7+ years of experience in procurement, purchasing, or supply chain at a construction, architecture, design, or real estate development firm
High proficiency in POs, vendor contracts, and invoicing
High proficiency in lead time management and logistics coordination
High proficiency in budget tracking and cost controls
Strong knowledge of business systems, software, and operations
Strong written communication and vendor assertiveness
Extreme attention to detail, zero errors
Preferred
Bachelor's degree in Business Administration, Finance, Logistics, or Supply Chain Management
A propensity for discipline, accuracy, consistency, and follow through
Comfortable operating in structured systems and repeatable workflows
Calm, methodical, and composed under pressure, in a client-facing environment
