Executive Assistant to CEO/Founder
Pocketbook Agency is a fast-growing women’s health start-up seeking an Executive Assistant to support the CEO. The role involves managing the CEO’s calendar, coordinating travel, and handling various administrative tasks in a dynamic environment.
Responsibilities
Own and manage the CEO’s master calendar with full discretion; handle frequent changes and last-minute rescheduling
Serve as gatekeeper for internal and external requests for the CEO’s time
Coordinate frequent domestic and international travel
Build and maintain a lightweight contact tracker (CRM-style) for investors, partners, and advisors
Prepare daily call sheets and ensure notes and follow-ups are captured
Manage the CEO’s to-do list, action items, and deadlines across tools
Anticipate needs, solve problems proactively, and operate independently in a fast-paced startup environment
Qualification
Required
Proven experience supporting a senior executive or founder in a startup or high-growth environment
Exceptional calendar management skills (non-negotiable)
Comfortable with ambiguity, speed, and frequent change
Direct, composed communicator with strong judgment
Discreet, organized, and highly reliable
Warm and confident, without needing to be bubbly or overly polished
