Responsibilities
Own project management as a discipline across the agency, including standards, workflows, and best practices
Establish clear expectations for how projects are planned, tracked, and delivered across all teams
Provide oversight and guidance on project health across accounts, not just those directly managed
Act as the escalation point for project risks, scope challenges, and delivery issues
Coach and support Account and Creative teams in strong project management practices and Wrike usage
Partner with leadership to define when and how project management support is applied across accounts
Oversee, improve, and standardize agency operational processes, workflows, templates, and systems to drive efficiency, consistency and scalability
Own and manage the agency’s project management platform (Wrike), ensuring accurate tracking, reporting, and adoption
Define and enforce consistent processes for project intake, planning, execution, and delivery
Evaluate and recommend tools, systems, or process improvements to enhance agency performance
Serve as the lead project manager for select large, complex accounts while maintaining visibility into project health across the agency
Build and maintain detailed project plans, ensuring alignment on scope, priorities, and milestones
Coordinate with Account, Strategy, Creative, and Media partners to ensure clear handoffs and accountability
Track progress and proactively address bottlenecks, risks, and scope changes
Partner with the COO and leadership team to forecast and allocate resources effectively across accounts
Maintain a rolling pipeline and capacity model to anticipate workload and staffing needs
Collaborate with department leads to ensure teams are staffed appropriately and efficiently
Identify potential resourcing risks and recommend solutions to mitigate delivery challenges
Partner with Strategy, Account and Finance teams to support scoping, estimating, and budget tracking
Develop and maintain Wrike dashboards and reports to monitor project progress, resource utilization, and profitability
Provide leadership with visibility into operational performance and project health metrics
Act as the central communication hub between departments, ensuring smooth collaboration and proactive problem-solving
Lead internal status meetings, project reviews, and operational syncs
Reinforce project management standards and accountability across teams through clear communication and leadership
Partner with leadership to shape and eventually build the project management team and structure as the agency scales
Qualification
Required
Bachelor's degree in marketing, business, operations, or a related field
7+ years of experience in project management and operations within a marketing or creative agency environment
Proven ability to lead integrated marketing projects from strategy through execution
Deep, hands-on expertise in Wrike, including experience serving as a Wrike administrator responsible for system configuration, reporting, workflows, templates, and user adoption
Exceptional organizational skills with the ability to manage multiple complex projects simultaneously
Strong leadership, communication, and coaching abilities
Analytical mindset with experience tracking budgets, KPIs, and resource utilization
Demonstrated ability to build systems and processes that scale
Experience managing or mentoring others a plus, with interest in building a project management function
Comfortable in a remote, fast-paced, entrepreneurial environment
