Purchasing Coordinator

Henricksen is a full-service contract furniture dealership specializing in various spaces. The Purchasing Coordinator is responsible for executing and supporting purchasing and administrative processes while collaborating closely with cross-functional teams.

Responsibilities

Verify, process, and manage vendor purchase orders tied to customer orders within AS400/P8
Ensure orders are complete and ready for release by confirming required documentation and manufacturer requirements are met
Place orders with manufacturers and service providers and monitor for accuracy
Identify, resolve, and/or escalate pricing discrepancies, missing options, or contract application issues to ensure accuracy and timeliness
Maintain accurate documentation and records to support audit and compliance requirements (filing, scanning, digital documentation)
Collect, track, and maintain certificates of insurance for service providers
Receive, validate, and retain customer sales tax exemption certificates
Assist with new vendor setup and onboarding
Support approximately 60+ Account Executives across 8 office locations
Actively support and uphold organizational values, culture, and expectations
Build inclusive, professional relationships with colleagues and project teams
Demonstrate accountability for continuous learning, process improvement, and professional growth

Required

A minimum of three (3) years of experience in a professional administrative, purchasing or coordination role
High school diploma or equivalent
Strong ability to prioritize and manage multiple tasks while maintaining accuracy and quality
Highly detail-oriented with strong organizational and problem-solving skills
Ability to work independently and collaboratively in a fast-paced, deadline-driven environment
Strong customer service mindset with excellent interpersonal orientation
Clear and professional verbal and written communication skills
Flexibility, adaptability, and willingness to learn

Preferred

Experience working with PDF files and digital signature software
Experience with AS400/P8 or similar ERP systems
Proficiency with Microsoft Office365 applications, including MS Word, Excel
