Senior Associate, Foundation Partnerships

Responsibilities

Provide support for and coordination of a select portfolio of highly complex grants
Ensure timely review and execution of grant/sub-award agreements, entry/updating of project records in the grants management database and execution of funds transfer to sub-awardees
Lead process of transferring grant funds to UNICEF and sub-awardees and review and update grant budgets as needed
Conduct due diligence to identify legal, procedural and financial issues for potential grants/sub-awards prior to proposal submission/approval, as well as over the life of multi-year grant projects
Develop and maintain up-to-date versions of standard attachments to grant applications and assist team members to assemble grant application proposals
Manage workflows and tracking processes for all grant/sub-grant agreements, invoice/DSA/reimbursements, Board approvals, payment requests, and grant/project/budget revisions
Participate in weekly Grant Open Hours meetings with UNICEF USA’s Foundation Partnerships and Finance departments, collating inputs from both teams and troubleshooting transfer issues
Liaise with Finance and compliance personnel on legal, procedural and financial issues regarding sub-granting/contracting processes
Focal point for grants management processing and data quality, and Grants Management team. Ensure consistent and streamlined administrative and financial processing and workflow
Oversee various systems for managing and tracking key phases in the life cycle of grant-funded programs
Ensure that sub-award templates are in line with organizational policies and work closely with the Legal department to support with team-related projects, as needed
Grant travel management, including coordinating with agency to book travel, expenditure tracking and reconciliation, and managing correspondence
Other tasks as assigned
Support on key prospect research and landscape analysis
Input on thematic research and partner briefs
Prepare or collect meeting notes and presentation materials; and

Train new staff and provide onboarding support
Steward, update and disseminate team pipeline of pending leads, qualified projects/initiatives, and proposals
Arrange logistics and tech for team and partner meetings (webinars, Zoom, weekly meetings, conference calls)
Help maintain the departmental user manual
Support team and relevant UNICEF USA departments with the further development of Grants Management/CRM systems, other operational improvement processes as needed
Proactively identify opportunities to improve team efficiency, systems, and processes
Represent the team on select working groups and cross-departmental projects
Provide overall team administrative support where necessary
Support on administrative tasks, such as note taking, building and preparing analytic reports, presentation design and report out on key internal/external meetings and information-sharing sessions on behalf of the team
Capture and track impact data from grant reports in simple database
Develop impact snapshots and elevate impact stories for Marketing & Communications
Coordinate learning sessions, grant close out de-briefs, and other learning-focused sessions for FP, internal UUSA, and with PFP
Support development of talking points and briefers for leadership on an as-needed basis
Coordinate quarterly meetings with UUSA team members
Coordinate calls and check-ins with UNICEF offices at the headquarters, regional and country-levels as relevant

Required

Bachelor's degree required; with a focus and/or demonstrated interest in international development, international relations, global/public health, public policy/advocacy, economics or a related field
2-3 years of work or equivalent experience in administrative operations, project management, or other relevant experience, especially in a non-profit and/or fundraising context
Excellent project management, operations planning, and organizational skills
Excellent interpersonal and communication skills, both written and verbal
Ability to balance and flexibility maneuver between multiple priorities in a fast-paced environment
Must possess a strong work ethic, keen attention to detail, take initiative, and be a strategic thinker
Able to work independently on projects from conception to completion
Must share a strong commitment to international humanitarian and development work and passionately embrace the mission of UNICEF USA
Must demonstrate cultural competency, self-awareness, flexibility and adaptability
Strong computer literacy with proficiency in Microsoft Office (Word, Excel, PowerPoint)
Must possess current and valid US Work Authorization and be eligible to work for any US employer without sponsorship
