Practicum Placement Coordinator
NEOGOV is seeking a Temporary Practicum Placement Coordinator to support the practicum program for the Social Work Department. The role involves maintaining documentation, entering data into the practicum database, and providing clerical support while fostering relationships with campus departments and statewide organizations.

Responsibilities
Provide administrative support to Practicum Directors and Practicum Faculty
Work with Procurement and Practicum Director to negotiate and renew all agency contracts
Develop local relationships to foster practicum internship opportunities
Create and maintain practicum agency e-files and all correspondence
Review annual university clearance responsibilities embedded in contract; track and monitor agency partner onboarding requirements using a Consumer Reporting Agency software system
Responsible for providing relevant employees and clients with corresponding information and training
Develop and maintain the placement management software system for MSW students’ practicum placements
Provide relevant faculty, students and agency partners corresponding information and training, technical support, and maintenance, including troubleshooting and testing placement management software
Establish user accounts and coordinated Single Sign-On (SSO) across applications
Coordinate professional development sessions and create software tutorials
Serve as initial point of contact for practicum related inquiries including technical support and academic support
Manage the MSW Practicum Process and Canvas & Placement Database System for students entering practicum
Coordinate all practicum -related events
Responsible for processing room and campus space reservations for staff, faculty, and students
Manage class schedules for students resolving scheduling conflicts
Generate and complete required statistical and survey reports for the practicum and the SWECE project
Query, manipulate, and audit data while proofreading and editing various documents, including communications, handbooks, calendars, and presentations
Maintain bookkeeping of expenditures related to practicum and the SWECE project
Maintain calendars, arrange meetings, conferences, teleconferences, and travel
Uphold HIPPA, FERPA and Web Content Accessibility Guidelines while developing and editing websites and interfaces
Conduct virtual meetings and webinars
Accurately prepare check requests, travel requests, IT authorizations and reconcile accounts payable transactions
Responsible for word processing, database maintenance, filing, duplicating, setting up of department meetings and practicum meetings, and taking meeting notes
Prepare correspondence, reports, publications, workshop handouts and maintaining project files and other SWECE contract documents as required
Provide administrative and clerical support in carrying out general office and reception duties
Coordinate with other campus administrative units to maintain program requirements as needed
Assist in maintaining SWECE project calendars and practicum calendars
Other duties as assigned
Qualification
Required
Minimum three (3) years' of experience in general office work, requiring confidentiality
Knowledge of human services or educational settings
Experience working in a large organization
Strong attention to detail and independent work
Experience with public contact as well as working as part of a team under supervisor
Strong knowledge and skills in Microsoft Office and other computer applications and programs
Ability to interact effectively with co-workers and clients
Ability to understand and follow posted work rules and procedures
Ability to relate well to others within the campus environment
Ability to display motivation and strong interpersonal skills
Ability to display organization, meet deadlines, display detail orientation, possess good judgment and common sense
Ability to demonstrate a high level of cross-cultural sensitivity
Thorough written and oral communication skills, including English grammar, spelling, and punctuation
Ability to apply independent judgment, discretion and initiative to address problems and develop solutions
Ability to perform standard arithmetic functions
Competence in understanding, interpreting, and communicating procedures, policies, information, ideas and instructions
Minimum Bachelor's degree
