The role involves managing complex payables, vendor relationships, and compliance for multiple active projects, ensuring accurate processing and reporting of accounts payable activities.

Responsibilities
Process and code vendor invoices, subcontractor pay applications, and purchase orders in alignment with project budgets and cost codes
Verify invoice accuracy, obtain approvals, and ensure compliance with contract terms, lien waivers, and insurance documentation
Manage the full A/P cycle, including weekly and bi-weekly check runs, ACH and EFT payments, and expense reimbursements
Process invoices and payments using Sage 300 CRE Software, BuildTopia, and Procore systems
Set up and maintain vendor records (W-9s, insurance certificates) and ensure subcontractor compliance
Maintain accurate job cost reporting by collaborating with project managers, estimators, and field teams
Reconcile vendor statements, resolve discrepancies, and maintain detailed and organized A/P files
Assist with monthly reporting, audits, and tax filings, including Sales & Use Tax and annual business licenses
Support office operations by ordering supplies, coordinating copier maintenance, and assisting with special projects
Qualification
Required
3+ years of accounts payable experience, preferably in construction, real estate development, or general contracting
Strong understanding of construction accounting principles, including job costing, retainage, and subcontractor billing
Proficiency with Sage 300 CRE Software, Procore, BuildTopia, and Microsoft Excel
Excellent attention to detail, organization, and communication skills
Ability to manage multiple priorities in a fast-paced, team-oriented environment
