Admin Assistant (overseas remote)
NYC Counseling is a growing private psychotherapy practice serving clients in New York and Florida, specializing in trauma-informed care. They are seeking a highly organized, tech-savvy Administrative Assistant to support daily operations, client intake, and clinician coordination in a fully remote environment.

Responsibilities
Manage daily communications, including answering phone calls and emails professionally
Support new client intake , including data collection, scheduling, benefits verification, and payment setup
Maintain accurate records across platforms such as Google Workspace, SimplePractice, and Thrizer
Process client payments and ensure billing accuracy
Coordinate schedules and workflows with clinicians and leadership
Assist with team operations, meetings, onboarding, and internal processes
Provide occasional administrative support to the Founder
Support marketing and community outreach initiatives as needed
Maintain strict HIPAA compliance and protect client confidentiality
Qualification
Required
High school diploma required
Customer service or administrative experience required
English proficiency at B1 level or above
Excellent written and verbal communication
Strong attention to detail and time-management skills
Comfort using EMRs, Google Workspace, and spreadsheets
Reliable, adaptable, and proactive problem-solver
Discreet and professional with sensitive information
Warm, approachable, and eager to learn
Preferred
Associate's or Bachelor's degree preferred
Experience in healthcare or mental health settings preferred
