Specialist, Accounting

New College of Florida is seeking a Specialist in Accounting to serve as the primary point of contact for centralizing the accounts payable invoicing process. The role includes processing payment requests, managing vehicle documentation, and performing monthly accounting activities, along with various financial analyses and special projects.

Responsibilities

Serves as the primary point of contact for centralizing the accounts payable invoicing process, including validation of weekly check runs and reissuance of outstanding checks
Processes direct pay requests and travel reimbursements while coordinating closely with departments, vendors, procurement and budget personnel to ensure proper documentation and approvals
Manages University vehicle property documentation and maintains custody of titles
Performs monthly accounting activities as needed
Maintains a centralized Accounts Payable email inbox to receive all invoices associated with approved purchase orders submitted by departments
Reviews approved purchase orders, matches them to corresponding vendor invoices, and submits documentation for payment entry
Communicates effectively with departments and vendors to resolve invoice discrepancies and ensure timely and accurate processing
Works closely with procurement and budget personnel to process payment requests not associated with a purchase order (Direct Pay) and travel reimbursements
Confirms required approvals and supporting documentation, and enters transactions into the ERP system to ensure accurate and timely payment
Reviews the Accounts Payable check register prior to check printing to ensure accuracy and completeness
Verifies and mails checks in accordance with established procedures and internal controls
Reviews uncashed outstanding check list and contacts payees to determine whether a replacement is needed
Updates and documents corrected payee information as applicable and initiates the outstanding check affidavit form to reissue payments
Prepares and submits the annual Unclaimed Property report to the State of Florida, remitting outstanding checks that remain unresolved
Processes and manages all Florida Department of Highway Safety and Motor Vehicles (DMV) transactions on behalf of the University
Maintains custody of all vehicle titles, ensuring documents are securely locked, protected, and retained in accordance with recordkeeping and internal control requirements
Performs ad hoc financial analyses and special projects to support accounting operations, internal controls, and compliance initiatives
Performs other duties as assigned, consistent with institutional policies and applicable regulatory and compliance requirements

Required

A Bachelor's degree in Accounting, Finance, Management or Public Administration, and/or two years of accounting related experience
Knowledge and experience in working with Microsoft Office products – Word, Excel, Access, PowerPoint
Higher education accounting experience
Effective communication skills verbally and in writing
Ability to establish effective working relationships
Ability to establish priorities and meet deadlines
Ability to establish and maintain records
Ability to exercise good judgment
Ability to maintain professionalism in adverse conditions
Ability to read various forms, procedures, regulations and similar materials
Ability to work as part of a team within the Controller's Office and with all other Campus offices
Ability to operate calculator, desktop computer and various office machines and equipment
Ability to perform duties in a confined yet open-office environment
Knowledge and ability to complete paperwork accurately and timely
Knowledge of Accounting practices and procedures
Ability to pay attention to details and notice when something isn't the same between two or more records
Ability to apply textbook theory and applications to everyday situations
Capable of understanding the functional design and implementation of computer applications

Preferred

Experience with the State University System of Florida and knowledge of Ellucian Banner
