Administrative Assistant - PACE

NADAP is a multiservice non-profit agency dedicated to helping people with medical, behavioral health and social service needs to become self-sufficient. In this role, you will provide administrative support to the PACE program, assist with career guidance, skills training, and job placement services while making a difference in the community.

Responsibilities

Responsible for attendance tracking and updating attendance in SEAMS & Credible
Responsible for the collection of participants' timekeeping hours in both hard copy and electronic form. Must read email and check the fax machine to ensure all submitted documents are collected
Responsible for collecting excused documentation from clients in designated workshops. Make copy of document and return original to client prior to workshop dismissal
Review submitted documentation carefully to ensure is in compliance with program policies and procedures
Process FTR/FTC daily by given deadline and generate the pending FTC list
Responsible for transit card distribution to eligible clients and obtain client signatures accurately on the transit card log
Reconcile transit card daily with management to ensure accuracy of log and cards returned
Assist with scanning, and making copies for clients, and program needs
Responsible for addressing PACEs outstanding rosters daily by given deadline
Scan client documents to pending drive and upload to Credible
Provide back up for reception and front desk coverage, as necessary
Assist with client enrollment in PACE Program
Performs other duties as assigned

Required

High School Diploma/GED with 2 years of experience
Must have excellent customer service and presentation skills
Must possess excellent computer skills
Some prior professional experience working within a community-based organization or the government sector, directly serving an under-resourced population required
Good verbal and written communication skills
Excellent organizational skills
Ability to work a flexible weekday schedule and to travel to various locations to carry out assigned duties
Effective problem solving and interpersonal skills
Basic computer software literacy and computer usage experience

Preferred

Experience working with similar client population a plus
Working in an automated on-line system, demonstrates proficiency in use of applied information technology and on-line database systems; demonstrated keyboarding speed proficiency and accuracy preferred for a paperless case management system
Experience working with public assistance population preferred
Experience or familiarity with the disability population preferred
Experience working in employment services or in social service-related field preferred
