Executive Assistant to the General Counsel and Chief People Officer

Responsibilities
Manage complex calendars for the CHRO and General Counsel, including scheduling internal and external meetings, and legal or HR-sensitive discussions
Coordinate domestic and international travel, including itineraries, expense reporting, and logistics
Prepare, edit, and proofread correspondence, presentations, reports, and briefing materials
Serve as a primary point of contact for internal stakeholders, external counsel, board members, and senior leaders
Handle highly sensitive and confidential information with discretion and professionalism
Assist with legal- and compliance-related administrative tasks, including document organization, signature tracking, and deadline monitoring
Coordinate with outside counsel and internal legal teams as directed by the General Counsel
Maintain organized filing systems for legal and HR documents, ensuring compliance with record-retention policies
Support CHRO with confidential meetings and materials that may be related to executive meetings, talent reviews, compensation discussions, and employee relations matters
Assist with preparation for board and committee meetings
Assist with internal departmental reporting
Track action items and follow up on deliverables across HR and Legal leadership teams
Take primary responsibility for setting up vendors and paying their invoices for services to HR & legal
Assist with budget tracking and adherence
Anticipate executive needs and proactively resolve scheduling or logistical conflicts
Manage multiple priorities simultaneously while meeting tight deadlines
Improve administrative processes and workflows to increase efficiency
Coordinate cross-functional meetings and initiatives as needed
Work closely with other executive assistants and senior leaders to foster an agile, high-performance culture
Qualification
Required
5+ years of experience as an Executive Assistant or Senior Administrative Assistant supporting C-suite or senior executives
Experience working with confidential, sensitive, or legally privileged information
Exceptional organizational, time-management, and communication skills
High level of professionalism, integrity, and discretion
High proficiency in Microsoft Word, Excel, PowerPoint, and Outlook
Preferred
Experience supporting HR, Legal, or Compliance leadership
Familiarity with board governance processes
Experience in a fast-growing or complex corporate environment
Proficiency with Microsoft Visio and SharePoint
