Document Control Entry level : 199594
HKA Enterprises is seeking a Document Control technician to coordinate records management and maintain information systems for specific projects. The role involves managing document control practices, ensuring project stakeholders have access to current documents, and assisting in document creation while adhering to quality requirements.
Responsibilities
Provides project administrative and coordination support with established project delivery processes ensuring the orderly, efficient, and timely completion of the project scope, in accordance with requirements specified in the contract documents
Arranges and attends program/project status meetings
Supports project design and Project Managers and other program staff in administrative tasks
Assists in the collection/distribution of data, communications, coordination of meetings and materials, tracking various information or preparation of reports associated with a project
Coordinates updating, access and maintenance of project databases
Coordinates production and delivery of project deliverables, drawings, specifications, and other documents
Control and edit documents and other related items for appropriate distribution
Ensure all documentation provided is as per Client quality formatting requirements. Formatting may include correcting templates, redlines, fonts and style, pagination and numbering and other activities that may be required to achieve a client’s documentation requirements
Ad hoc duties as required to assist the project team and other duties as assigned
Qualification
Required
5 years demonstrated history of project administration work
Skilled knowledge of Microsoft Office software operations
Typing and experience working with online software databases
Familiarity with Document Control principles and methods including, but not limited to: EDMS Structure set-up and implementation, Work Package Sequencing, Delivery Execution and Reporting, Submittal management and Turnover
Ability to be self-directed and work independently or as part of a team
Thorough planning and organizational skills
Flexibility to re-prioritize tasks
Independent trouble shooting and problem solving
Ability to identify potential problems and elevate these to the appropriate level(s) of management
Strong communication and time management skills
Ability to effectively communicate with project management, other project leads, and the client
Ability to work flexible schedules and occasional overtime
