Administrative Assistant
Indiana University is a nationally recognized research center dedicated to the study of Alzheimer's disease and related dementias. The Administrative Assistant will support multi-core clinical and research operations, manage participant communications, and provide general administrative support.

Responsibilities
Serves as a central administrative and participant-facing resource for the IADRC, supporting multi-core clinical and research operations across the Clinical Core, Neuroimaging Core, Outreach, Recruitment and Engagement Core, and affiliated studies
Coordinates participant visit scheduling in collaboration with clinicians and research staff, aligning provider availability and managing complex, multi-visit research schedules
Serves as the primary point of contact for all IADRC participant communication, including managing incoming calls, centralized phone lines, and shared inboxes, and routing inquiries appropriately
Prepares, distributes, and tracks participant materials, including visit packets, consent documents, and correspondence
Processes participant payments
Completes reminder calls, texts, and follow-ups for screenings, research visits, imaging appointments, lumbar puncture visits, affiliated studies, and Return-of-Results communications
Provides general administrative and operational support, including supply ordering, participant reimbursement processing, meeting preparation, parking validation, and event support
Provides administrative support to executives, exercising confidentiality, tact, and diplomacy
Utilizes business software applications to prepare correspondence, reports, presentations, agendas, minutes, etc
Receives, screens, and directs incoming calls, visitors, mail, and email promptly, courteously, and accurately
Manages executive's calendar, meetings, travel, correspondence, and budget
Acts as informal resource for colleagues with less experience; responds to more complex or escalated inquiries
Identifies, enhances, and follows specific processes and procedures to maximize the efficiencies of the business to which the support is being provided
May perform other duties related to maintaining an internal website and/or working with social media
Qualification
Required
High school diploma or equivalent (such as HSED or GED)
4 years of relevant experience
Excellent organizational skills
Demonstrates ability to maintain confidential information
Strong verbal communication and listening skills
Excellent collaboration and team building skills
Demonstrates excellent judgment and decision-making skills
Effective conflict management skills
