HR Representative

Florida State University is one of the nation's elite research universities, and they are seeking an HR Representative to process OPS Express appointments and HR Records requests. This role is pivotal in ensuring compliance and care in the hiring process while supporting departments across campus with their staffing needs.

Responsibilities

Responsible for reviewing and processing all OPS express OMNI Job Offers ensuring job details are compliant with University, State, and Federal guidelines including enforcing university payroll deadlines to ensure employees are paid accurately and timely without missed paychecks
Reviews appointment details and duties to determine background check requirements per University policy
Launches candidate invite in Onboarding Portal and provides candidate Onboarding troubleshooting assistance
Processes employment and income verification requests for current and previous employees of the University including processing Public Service Loan Forgiveness Forms, providing employment memorandums as requested, processing Teacher Certification Forms, providing clarification for income verifications, and other various needed requests not handled by verification vendor, The Work Number by Equifax
Assists with processing public records requests in providing access to personnel records for review to internal and external customers
Assists in Name Change requests for current FSU employees
Assists imaging process of HR documents into employee personnel files including regular maintenance and audits of records ensuring the appropriate structure and document attributes to comply with Federal, State and University policies, procedures and retention guidelines
Ensure compliance with federal, state, and local regulations
Serves as backup for front desk administration support for the FSU HR suite
Assists and refers visitors and callers to the appropriate HR section/contact
Responsible for assisting the Human Resources Fingerprinting Office to fingerprint FSU employment and volunteer candidates
Assists with other projects as needed which support Employment & Recruitment Services, HR Records, The Background Check Team, and HR
Assists background check program including processing Summer Camp background checks pursuant to statutes, DCF rules, and University policies
Performs other related duties as required and deemed appropriate to the accomplishment of the responsibilities and functions of the department including supporting HR Records, HR Background Check Team, and Employment & Recruitment Services as needed

Required

Bachelor's degree; or a high school diploma or equivalent and four years of experience. (Note: a combination of post high school education and experience equal to four years.)

Experience working with confidential and sensitive information such as Criminal Justice Information (CJI) and Personally Identifiable Information (PII)
Excellent organizational skills
Ability to organize and coordinate work processes to meet deadlines

Proficient in Microsoft Office Suite
Ability to adapt to various computer applications and environments
Ability to succeed in fast-paced demanding environment
