Operations and Development Coordinator
Monarch Academy is a mission-driven nonprofit education organization focused on transforming lives through accessible learning. They are seeking an Operations and Development Coordinator to build operational infrastructure for fundraising and donor relationships, while also providing executive support to the Executive Director.
Responsibilities
Research and identify prospective donors, including high-net-worth individuals
Execute multi-channel outreach campaigns: personalized emails, SMS, phone calls
Schedule and prepare materials for donor meetings with the Executive Director
Maintain donor pipeline in Airtable with clear stages, next steps, and follow-up tasks
Draft donor communications: outreach emails, meeting follow-ups, impact updates, and stewardship messages
Design and run fundraising campaigns end-to-end, including segmented follow-up sequences
Build automated donor workflows (thank-you emails, donation summaries generated from CRM data)
Track donor engagement and ensure no prospect falls through the cracks
Plan, create, and schedule content for Instagram (primary focus: Reels, carousels, posts), LinkedIn, and Facebook
Develop and maintain a rolling 12-month content calendar aligned with campaigns and program milestones
Use Metricool for content scheduling; leverage AI tools and Canva for on-brand graphics
Manage digital asset library across Canva, Lightroom, Adobe Creative Suite, and Google Drive
Support email newsletters and SMS outreach campaigns
Monitor engagement metrics and adjust content strategy based on performance
Ensure brand consistency across all platforms and materials
Maintain Airtable as the system of record; ensure data accuracy and completeness
Build and manage forms (intake, registration, event sign-ups) that sync directly into Airtable
Create and maintain family/relational links and contact profiles
Integrate Airtable with Mailchimp to track email engagement (opens, clicks) within contact records
Design automations to eliminate manual data entry and streamline recurring processes
Generate reports and dashboards to inform fundraising and program decisions
Serve as Executive Assistant to the Executive Director: calendar management, meeting prep, travel coordination
Manage multiple Gmail inboxes: triaging, labeling, filing, and ensuring timely responses
Coordinate interviews, onboarding, and payment processing for Quran Mastery and Quran Quest program teachers
Follow up with program staff on logistics, materials, and scheduling
Maintain organized electronic file structures across Google Drive with standardized naming conventions
Handle day-to-day office operations and miscellaneous administrative tasks
Qualification
Required
Hands-on experience with Airtable or similar relational databases (Smartsheet, Notion, etc.); comfortable building views, automations, and integrations
Working knowledge of Mailchimp or similar platforms (Constant Contact, Klaviyo)
Proven ability to create engaging content, especially Instagram Reels and carousels; experience with scheduling tools
Proficiency in Canva (required); familiarity with Adobe Creative Suite or Lightroom is a plus
You instinctively look for ways to automate repetitive tasks and build scalable systems
Excellent writing skills for donor outreach, social captions, and professional correspondence
Exceptional ability to manage multiple priorities, meet deadlines, and maintain accuracy
Comfortable learning new tools quickly (Google Workspace, form builders, SMS platforms, AI design tools)
Able to work independently, prioritize effectively, and take initiative without constant oversight
Preferred
Prior fundraising, development, or donor relations experience in a nonprofit setting
Familiarity with nonprofit operations, mission-driven culture, or education programs
Experience integrating multiple platforms (Airtable with Mailchimp, Zapier, Make.com, etc.)
Background in project management, workflow design, or process improvement
Experience with Adobe Lightroom or Photoshop for photo editing
Understanding of donor cultivation cycles and stewardship best practices
