Responsibilities

Assist with membership requests, inquiries, and questions from members; communicate regularly with members and provide timely responses
Support members’ events and exhibition openings, including maintaining and managing guest lists and RSVP tracking
Run weekly reports to track new and renewed memberships and provide internal updates
Prepare and mail membership cards to new and renewed members
Send welcome patron and thank-you packages with information on upcoming events and benefits
Coordinate and prepare large mailings for prospective members and patrons as part of individual giving campaigns
Conduct data entry, record-keeping, and reporting within the donor database (Salesforce)
Maintain consistent and accurate membership records and collaborate with the membership team to ensure data integrity and best practices
Track Patron and Membership expenses and support basic documentation and reconciliation
Support development operations through prospect research using WealthEngine
Help launch and contribute ideas for the Membership FAQ page and membership web content to improve member experience
Support and conduct the library membership process, including processing and tracking
Track and report on membership interactions and engagement, identifying trends and opportunities to strengthen retention and stewardship
Provide support for the implementation of all grants and deliverables in collaboration with the Director of institutional Funding
Monitor deliverables for grants, and communicate status
Develop and maintain Dashboard with metrics to monitor deliverables
Support the administrative planning and coordination of corporate membership events, including speaker and programming needs
Write and distribute the bi-weekly corporate member newsletter in collaboration with the CRM team
Secure tickets for corporate members for high-demand events and maintain accurate allocation tracking
Generate proposals in partnership with Director
Coordinate with the development and events teams to provide on-site event support for fundraising and donor engagement events
Manage guest lists and registrations, including guests from external partners and VIP stakeholders
Assist with event setup and breakdown to ensure smooth and professional execution
Provide post-event reporting related to membership activity and donor interactions
Support cross-departmental coordination to ensure seamless planning and execution of development events
Attend and participate in pertinent staff meetings, trainings, and development department planning sessions
Provide additional administrative and project support as needed to advance fundraising efforts and team goals
Any other duties as may be assigned as applicable to the job

Required

Bachelor's degree required
1–2 years of relevant experience (internships and entry-level nonprofit experience welcome)
Strong interest in fundraising, donor relations, membership engagement, and nonprofit development
Excellent communication skills (verbal and written), with a professional and responsive style
Highly organized and detail-oriented, with the ability to manage multiple priorities and deadlines
Adaptable and flexible; able to work in a fast-paced environment with a solutions-oriented mindset
Strong project management skills and comfort coordinating across multiple teams and stakeholders
Ability to prioritize work, meet deadlines, and consistently produce high-quality results
Strong interpersonal skills and comfort interacting with donors, members, corporate partners, and colleagues
Proficiency in Microsoft Office and/or Google Workspace required
Proficient in using Salesforce (or similar CRM) with the ability to input data, maintain records, and generate reports
Willingness to provide occasional evening/weekend support for events, as needed

Preferred

Experience with prospect research tools (e.g., WealthEngine) preferred
