Executive Assistant

Madison Investments is seeking an Executive Assistant to support their Equity team. The role involves managing calendars, coordinating meetings, and assisting with various administrative tasks to ensure the smooth operation of the team.

Responsibilities

Maintain calendar for the Head of Mid and Large Cap. Schedule meetings on their behalf, manage travel arrangements and expense reports
Act as point person for correspondence with external and internal parties
Maintain and manage resources for the equity team i.e., subscriptions, databases, research headquarters and pipeline, coverage, et al (tracked in Excel)
Maintain correspondence with portfolio companies and research contacts via letters, thank you notes, greeting cards, etc
Assist in preparation of presentations and meetings, i.e. prepare packets, create slides, gather information and format into charts, note taking, etc
Compile and gather information for various research, marketing, and business items
Act as marketing liaison: Compile and manipulate charts for marketing meetings, create PowerPoint slide decks and track teams’ meetings (date, who was on the call, etc.)
Coordinate team activities, including lunches, events, and awards for the Equity team
Conduct data compilation to assist with research-utilize FactSet and APX to retrieve and arrange information on portfolios and investments
Manage recruitment process: Post jobs on school sites and manage relationships with recruiting departments, help set up interviews and follow up
Publish weekly/monthly/quarterly reports on portfolios

Required

Strong organizational skills
Strong communication skills, both verbal and written, with the ability to perform duties independently
Working knowledge of Microsoft suite of products
This position works primarily in an office setting

Preferred

Bachelor's degree preferred but not required
Executive assistant experience preferred
Financial industry experience and/or investment background a plus
