Administrative Assistant
Oneida Nation is seeking an Administrative Assistant to perform a variety of administrative duties requiring a range of skills and knowledge of organizational policies and procedures. The role involves assisting visitors, handling correspondence, and managing various administrative tasks to support the Trust Enrollment Department.

Responsibilities
Welcome visitor and determine nature of business, and announce visitors to appropriate personnel, maintaining professional and courteous demeanor
Answer and screen incoming calls and correspondence; determine purpose of calls, and forward calls to appropriate personnel, ensuring professional telephone etiquette
Gain basic understanding and provide assistance when needed, of other positions within the Trust Enrollment Department
Process incoming mail in accordance with established department policy & procedures
Operate Identification card system, collect fees, and provide various I.D. cards. Perform database searches and provide membership certificates for Indian Child Welfare and other tribal or non-tribal entities
Maintain the tribal membership Gas Tax data, to include data entry of information on forms and forwarding to appropriate tribal entity
Receive various department forms, fees, and documentation from customers, provide receipts, and forward forms to appropriate Enrollment personnel for processing. Operate and maintain a cash register
Prepare correspondence, reports, minutes, agendas, forms, directories, and other communications from drafts, recordings, or verbal instruction as requested. Recommend revisions to enrollment forms. Attend staff meetings and take minutes as requested
Schedule department events and activities. Contribute to a team effort and accomplish related results as required
Support team goals and objectives, department planning, organizing, and scheduling activities
Participate and assist in short- and long-range projects
Participate in rotating weekend shifts, General Tribal Council meetings and Tribal elections
Conduct research to resolve operational questions or issues
Establish and maintain an effective filing and retrieval system
Qualification
Required
Ability to work independently with minimal supervision
Ability to carry out instructions furnished in verbal or written format
Knowledge of proper spelling, grammar, punctuation, and basic arithmetic
Ability to communicate effectively in the English language, both verbally and in writing
Ability to establish and maintain professional relationships with individuals of varying social and cultural backgrounds and co-workers at all levels
Ability to represent the organization in a professional manner, building respect and confidence
Ability to handle multiple tasks and meet deadlines
Ability to continually seek improvement in results
Skill in operating various word-processing, spreadsheets, and database software programs in a Windows environment
Ability to interpret applicable federal, state, tribal, county, and local laws, regulations, and requirements
Ability to follow records retention procedures
General Ed, High School Equivalency Diploma, HS Diploma
Driver's License Personal & Tribal Vehicle
Insurance Required
One year experience in Administrative office work
Knowledge of the Oneida Community, its history and culture
Must be an enrolled member of the Oneida Nation
Must maintain strict security, confidentiality, and quality to meet professional standards of the department
Must adhere to all Oneida Nation Personnel Policies and Procedures, Oneida Nation Standard Operating Procedures, and Area and Program Strategic Plans and Policies
Must pass a background check to meet Employment Eligibility Requirements
Must be willing and able to obtain additional related education and training
Must pass a pre-employment drug screen and adhere to the Nation Drug and Alcohol-Free Workplace Policy
A Tuberculosis (TB) Screening and/or a 2 step TB Skin Test is required within thirty (30) days of employment
Must provide a copy of diploma/degree, license, or certification upon employment
