Responsibilities
Manage experiential marketing projects across all phases of a pop-up: pre-production, live execution, and post-event wrap
Define project scope, objectives, timelines, and deliverables
Develop and manage detailed project schedules and work plans
Ensure projects are delivered on time, on budget, and to quality standards
Create and manage project budgets, cost estimates, and forecasts
Track expenses and project performance against budget
Support resource planning across multiple concurrent projects
Identify opportunities for cost efficiencies without compromising creative intent
Serve as a primary point of contact for clients throughout the project lifecycle
Lead client-facing meetings, status updates, and walkthroughs (including East Coast site visits as needed)
Communicate project status, milestones, risks, and changes clearly and proactively
Build strong, trusted relationships with clients and external partners
Lead internal project teams and ensure alignment across creative, production, and operations
Delegate tasks effectively to team members best positioned to deliver
Facilitate weekly internal team calls and cross-functional check-ins
Foster a positive, collaborative team environment
Identify project risks, constraints, and dependencies early
Make effective decisions when presented with multiple paths forward
Escalate issues as needed with clear recommendations and solutions
Adapt plans and timelines to maintain momentum and quality
Oversee on-site project management during installs, live events, and strikes
Coordinate vendors, partners, and internal teams on-site
Ensure execution aligns with approved plans, specs, and brand standards
Troubleshoot real-time challenges during live activations
Develop and maintain project documentation, including plans, schedules, and status reports
Ensure projects comply with legal, regulatory, and ethical standards
Monitor project performance and implement improvements as needed
Stay informed on industry trends, best practices, and emerging technologies
Qualification
Required
Must be based in NYC
Bachelor's degree
2+ years of project management experience, preferably in a marketing or creative agency
Strong organizational, time-management, and multitasking skills
Excellent written and verbal communication skills
Comfortable working independently and collaboratively
Ability to think strategically and creatively when solving problems
Strong decision-making skills in fast-moving environments
Solid understanding of marketing and advertising principles
