Responsibilities

Provides administrative support of a responsible and complex nature and assists multiple departments. Performs with autonomy and initiative
Tracks data and creates/updates the tracking system of clinical locations, affiliation agreement due dates, and renewal dates
Reviews affiliation agreements or other types of clinical agreements, identifying key issues and variances for review by supervisor
Drafts, edits, and updates affiliation agreements as directed
Develops and maintains collaborative relationships with clinical site representatives
Maintains files and records on active and inactive clinical site affiliation agreements
Prepares clinical site affiliation agreements, reports, and data as requested by programs
Coordinates with Health Sciences programs or other colleges, as necessary, to obtain approval for new clinical site locations
Performs administrative support functions, including managing and responding to correspondence; prioritizing and processing office communications and mail; handling telephone and email inquiries; and supporting calendar/timelines
Performs complex computer activities, including word processing, data collection/databases, analysis of information, and scheduling processes
Gathers and compiles a variety of data, producing specialized reports and documents in support of the health sciences department

Required

One year related work experience
Associate degree
Correct English usage, grammar, spelling, punctuation, and vocabulary
Records retention, preservation, and recording
Office management processes and procedures
Knowledge of the health sciences programs at Austin Community College
Effectively using interpersonal and communication skills
Effectively using organizational and planning skills, including the use of attention to detail and follow-through
Reviewing and preparing narrative and statistical reports and records
Interpreting and applying rules, regulations, policies, and procedures
Maintaining confidentiality of work-related information and materials
Establishing and maintaining effective working relationships
Maintaining an established work schedule. May require some evening and/or weekend work
Use a variety of spreadsheet, word processing, database, and presentation software, including desktop publishing
