Responsibilities
Manage accounts receivable and payable, ensuring accurate and timely processing of invoices and payments
Generate billing statements using QuickBooks, and manually prepare paper billing when requested by customers
Facilitate and prepare quarterly reports and insurance audits in compliance with regulatory requirements
Reconcile bank statements, ensuring accuracy and identifying any discrepancies or errors
Handle Payroll responsibilities using Payjunction
Onboarding documentation for subcontractors
Review and manage employee timecards, ensuring accuracy and adherence to company policies and procedures
Perform bookkeeping tasks, including data entry, record keeping, and maintaining financial files and documents
Organize and maintain receipts, expense reports, and financial records
Occasionally answer phone calls, take messages, and provide basic customer assistance / redirect them to the appropriate team member
Handle mail distribution and ensure timely processing of incoming/outgoing correspondence
Maintain the office space, ensuring cleanliness, organization, and professional appearance

Qualification
Required
High School diploma or equivalent
3 + years of experience in Administrative/Secretarial experience
Excellent written and verbal communication skills
Excellent organization skills and attention to detail
Proficient keyboarding skills of 40 WPM
Experience with QuickBooks, Payjunction, and Microsoft 360 (Outlook, Word, Excel)
REQUIRED: Be able to pass both a state and federal background check. No felonies or high misdemeanors
Preferred
Associate/Bachelor degree in accounting, finance, business administration, or a related field
