Responsibilities

Oversee daily operations related to document production, including copying, printing, scanning, faxing, and general equipment oversight
Manage incoming and outgoing mail: receive, sort, distribute, weigh, meter, and prepare items for postal or courier services; coordinate package shipments and returns
Support administrative functions such as ordering office supplies, coordinating repairs, and ensuring the workplace is well‑maintained and fully stocked
Maintain clean and organized shared spaces including lobbies, conference rooms, break areas, and satellite workstations
Assist internal teams with special mailings, document organization, and other operational tasks
Review vendor services and expenses; research cost‑effective alternatives; reconcile invoices; and assist with procurement of equipment, furnishings, and supplies as needed
Provide hospitality and facilities support, including conference room preparation and event‑related tasks
Safeguard confidential information and handle sensitive matters with discretion
Collaborate with management on operational initiatives and support long‑term planning efforts
Serve as a point of contact for building management and external vendors to ensure efficient and cost‑effective daily operations
Monitor, identify, and facilitate timely completion of necessary maintenance and repairs

Required

High School Diploma or GED required
Ability to follow established processes and office procedures
Strong verbal and written communication skills

Comfortable working both independently and as part of a team
Ability to prioritize, multitask, and meet deadlines
Commitment to confidentiality and professionalism
Ability to lift up to 30 pounds
Ability to work at a sustained pace for extended periods
Standing or walking for long durations as needed
Extended periods of sitting when required
Periodic use of a telephone
Proficiency with office equipment such as computers, printers, and copiers
