Executive Administrative Assistant
Yankwitt LLP is Westchester's premier law firm specializing in high-stakes litigation, and they are seeking an Executive Administrative Assistant to support their managing partner. The role involves managing emails and calendars, handling timekeeping and billing, planning travel, and assisting with business development efforts.
Responsibilities
Monitor and manage email inbox of approximately 400 emails per day, including flagging key emails, deleting junk and outdated emails, organizing all emails into folders, and delegating case-related emails to other attorneys as appropriate. Email monitoring includes twice daily reviews on Saturdays
Maintain extremely busy work and personal calendar; schedule, organize and confirm meetings
Screen phone calls and make business and personal telephone calls
Enter managing partner’s time in firm time entry system daily
Record expenses for reimbursement
Collect data and plan travel for business and personal trips
Assist with personal errands and household duties, including doctors’ appointments, managing household repairs, online ordering, shopping, managing donations, picking up child from school or other appointments
Assist with maintenance of car registrations and insurance requirements; categorize and organize multiple personal insurance policies
Assist with tracking and following up on business development opportunities
Conduct research regarding potential clients, prepare summaries and reports
Qualification
Required
2+ years administrative support or executive assistance
Acute ability to solve problems, prioritize, and multitask
Ability to work independently and anticipate needs
Strong attention to detail
Proficient in Microsoft Office: Word, Excel, Outlook
Experience with CRM systems or other business development tracking software
Preferred
Bachelor's degree or equivalent experience preferred
