Project Administrator/S
Michigan State University College of Engineering is seeking a full time Project Administrator for the SHAC Lab focused on historical structural racism and child development. The administrator will manage project finances, serve as the primary contact for lab members, and ensure compliance with research administration requirements.

Responsibilities
Serve as the primary point of contact for all lab members and project contacts
Submit new vendor requests, process payments to vendors, route incoming invoices, reimbursements, and office supply requests
Initiate project-related requisitions and oversee the purchase order process, including payments
Process travel requests and expense reports for project staff and guests, as needed
Process and reconcile p-card transactions for payments made via credit card on behalf of the department (e.g. conference registrations, office supplies, contractual services)
Process cash advance requests for research participation incentive payments
Maintain the project software and notify PI when renewals are required
Manage finances: monitor shadow budgets, forecast expenses, timesheets, and purchasing
Collaborate and contribute to reports to OSP, CGA, IRB, Innovation, NIH, and DPH research administration team to ensure compliance
Arrange meetings for all projects, take minutes, and send reminders
Establish and maintain relationships with faculty, staff and colleagues within the department, across the university, and with external partners
Demonstrate flexibility, organization, and the ability to work both independently collaboratively
Interpret university policies and procedures
Possess excellent communication skills
Supervise lab staff and on-call and/or hourly staff on projects
This position is remote/hybrid friendly with the understanding that employees are required to regularly attend to work tasks and responsibilities during regular business hours
Position may require infrequent travel to Flint for meetings and/or training
Qualification
Required
Knowledge equivalent to that which would normally be acquired in a four year college degree
Three to five years of related and progressively more expansive work experience in a field related to the position including planning and managing projects
Communications content management (written, verbal, digital) experience with word processing, database, spreadsheet, presentation, calendaring software, desktop publishing and/or project management software
Ability to demonstrate flexibility, organization, and the ability to work both independently and collaboratively
Ability to interpret university policies and procedures
Possess excellent communication skills
Supervise lab staff and on-call and/or hourly staff on projects
Preferred
Advanced knowledge of the Microsoft Office suite (Teams, Outlook, Word, Excel)
Proficiency in MS Office 365 products, Enterprise Business Systems (EBS), Kuali Financial Software (KFS), Concur (travel system) at MSU
Excellent oral and written communication skills
Strong attention to detail; self-starter; self-motivated
Ability to work independently or in a collaborative setting
Ability to prioritize multiple tasks in a rapidly changing environment
Professional and polite demeanor with a positive attitude
Quick learner with a high sense of responsibility
Ability to maintain confidentiality with sensitive information
