Responsibilities
Manage and coordinate daily calendar for the President, including meetings, calls, site visits, and personal commitments
Schedule and organize internal and external appointments, ensuring optimal use of time and clear priorities
Prepare agendas, reminders, materials, and follow-up notes for meetings
Handle incoming communications (calls, emails, messages) and respond or redirect appropriately
Drive the President to meetings, property tours, site visits, and other engagements as required
Represent the office professionally when interacting with clients, brokers, vendors, and partners
Ensure timely arrival and logistical coordination for offsite meetings and events
Assist with select personal/family-related errands and appointments
Support planning and reminders for family schedules, travel, and special events
Maintain discretion and confidentiality in handling personal matters
Prepare documents, presentations, spreadsheets, and reports as requested
Maintain organized digital and physical filing systems
Coordinate vendor services, deliveries, and office needs
Facilitate communication between internal teams and external contacts
Must be available beyond standard business hours when necessary
Provide support during offsite meetings, events, and occasional weekends as required
Respond efficiently to urgent requests from the President
Qualification
Required
Proven experience as an executive assistant, administrative coordinator, or similar support role
Excellent organizational, time-management, and problem-solving skills
Strong communication skills (verbal and written)
Valid driver's license with a clean driving record
Ability to drive to multiple locations reliably
High degree of discretion, professionalism, and confidentiality
Comfortable with flexible hours and being on call
Proficiency in Microsoft Office (Outlook, Word, Excel) and calendar management tools
Preferred
Experience in real estate or related industry support roles
Ability to anticipate needs and act independently
Strong interpersonal skills and professional demeanor
Comfort assisting with both business and personal coordination
