Administrative Assistant

Responsibilities

Serve as a primary point of contact for LRC staff, division staff, other agency divisions, agency customers, peers at other agencies, and representatives of public officials
Respond to inquiries, relay information, exchange or obtain data, and resolve complex processing issues while ensuring compliance with applicable policies and procedures
Coordinate activities across departments to support efficient operations and service delivery
Collect, review, and prepare responses to inquiries or complaints, including those of a potentially sensitive nature
Compose and track preparation of administrative, operational, and informational reports or summaries related to workload, budgeting, grants, staffing, or legislative topics
Coordinate meeting schedules, agendas, and logistics; organize conferences; record meeting minutes; and prepare written records of proceedings
Support interagency, community relations, and public relations activities to promote public awareness of LRC administrative functions and initiatives
Collect, compile, and extract data from databases, statistical systems, accounting records, and other administrative documents
Create reports, charts, and graphs using word processing, spreadsheet, or database software to present information clearly for decision-making
Provide end-user support and training for internal and external customers on software applications, business processes, and technical procedures used by LRC

Required

Coursework/training or experience related to research, presentation, or publication in an area related to the programs or functions of the employing agency; business administration; accounting; customer service; and/ or technical support work, including use of computer software such as word processing, spreadsheets, and database management
Must be 19 years of age
Valid Driver's License

Preferred

Two or more years of administrative support experience, preferably in a healthcare, government, or public service environment
Advanced proficiency in Microsoft Office Suite, including Excel (e.g., ability to create and maintain spreadsheets, use formulas, and generate charts/reports)
Experience coordinating meetings and events, including scheduling, agenda preparation, minute-taking, and follow-up communications
