They are seeking an outgoing and highly organized Office Assistant/Project Coordinator to support civil design projects in their Sacramento office, focusing on both administrative tasks and project coordination responsibilities.

Responsibilities

Greet and assist clients and guests
Answer, direct, and transfer calls within a multi-line phone system
Coordinate meetings and/or conference rooms
Organize, distribute and prepare incoming and outgoing mail/deliveries
Assist office staff with miscellaneous tasks
Track key deadlines and provide support for multiple projects concurrently and identify and communicate critical path items, maintain project tracking tools
Coordinate all aspects of submittals for project packages to city and county agencies, including collection of fees, printing plans and delivery
Coordinate communication between departments and team members to facilitate efficiency
Prepare essential project correspondence such as letter proposals, change orders, city/county response letters and applications, meeting agendas, minutes, and other project-related documents
Prepare mark-ups of exhibits or documents on PDF or Bluebeam as needed
Research for project location, zoning, jurisdictions and fees, project reports and submittal package requirements
Review project budgets and costs to date
Plan and manage, project schedules and resources and coordinate all team members to keep workflow on track

Required

Bachelor's degree in Business or related field, or a minimum of 2-5 years of equivalent experience
Strong knowledge of computers, Microsoft office suite, etc
Ability to multitask, prioritize work, and focus in a fast-paced environment
Excellent written and verbal communication skills
Strong analytical and problem-solving abilities – 'out of box' thinking

Preferred

Prior experience with civil engineering, real estate development or construction services firms is preferred
Experience with Smartsheets, Bluebeam or Adobe, a plus
