Responsibilities
Manage front office activities including greeting visitors, answering phone calls, and responding to emails promptly and professionally
Maintain and organize office files, records, and documentation related to shipments, inventory, and transportation schedules
Assist in coordinating transportation logistics by communicating with drivers, warehouse staff, and clients to ensure timely deliveries and pickups
Support the preparation of reports, invoices, and other administrative documents required by management and regulatory bodies
Schedule appointments, meetings, and travel arrangements for branch personnel as needed
Monitor office supplies and place orders to ensure the branch is adequately stocked
Assist with onboarding new employees and provide general support to branch staff to promote a collaborative work environment
Qualification
Required
High school diploma or equivalent
Proven experience in an administrative or office assistant role, preferably within the transportation or warehousing industry
Proficiency in Microsoft Office Suite (Word, Excel, Outlook)
Strong organizational skills with the ability to manage multiple tasks simultaneously
Excellent verbal and written communication skills
Preferred
Associate degree or higher in Business Administration, Logistics, or a related field
Experience with transportation management software or warehouse management systems
Familiarity with industry regulations and compliance standards in transportation and warehousing
Customer service experience in a logistics or supply chain environment
Ability to operate basic office equipment such as fax machines, copiers, and scanners
